Terms and Conditions
Booking Your Event
To secure your event date, we require a non-refundable deposit of 25% of the estimated total, along with acceptance of these terms.
Before confirming, please review all event details carefully, including dates, quantities, and specific requests. This ensures everything is accurate and aligned with your expectations.
Confirming Your Booking
Your booking is confirmed when we receive your 25% deposit. This deposit guarantees your event date, allows us to begin preparations, and limits our ability to accept other bookings for the same date.
By sending through the deposit, you confirm all details are correct and approved.
Payments
The remaining balance is due no later than 14 days before the event. Any bookings made less than 14 days before the event must be paid in full. Payment must be completed before delivery or item collection can proceed. We accept direct deposits for all payments.
Late payments may result in additional fees or cancellation of your booking.
Refunds & Returns of Gifting Bouquets
All gifting bouquets are non-refundable and cannot be returned. Due to the perishable nature of our products, we do not offer refunds, exchanges, or returns for change of mind.
Cancellations & Rescheduling
- Cancellations: A non-refundable deposit is required to secure your booking. Full payment of the remaining balance is required no later than 2 weeks prior to your event date. If the event is cancelled within the 2 weeks leading up to the event, 100% of the total cost will be non-refundable. Clients are also liable for any cancellation costs incurred from external vendors including, but not limited to, prop suppliers, wholesalers, photographers, and other third parties engaged for your event
- Rescheduling or Venue Changes: Notify us as soon as possible about date or venue adjustments. While we will aim to accommodate to changes, availability cannot be guaranteed. Clients are liable for any rescheduling costs to external vendors including, and not limited to prop suppliers, wholesalers, photographers, etc. whom we have outsourced for your event.
Gifting Bouquet Delivery Terms
If no one is home at the time of delivery, our team will leave your bouquet in a safe and covered location to ensure it remains protected. If a suitable spot cannot be found, we will contact you to arrange an alternative delivery plan or pickup option. Please ensure all delivery details provided are accurate to help us complete your order smoothly.
Delivery and Setup
Delivery and setup schedules will be agreed upon prior to the event. Delays caused by the venue, client, or other vendors may incur additional charges. In the event that a venue is not accessible or other vendors do not arrive at the agreed upon time, we are not responsible for unfinished work and have the right to cancel the event.
Once we leave the event after installation, we are no longer liable for any damages, including popped balloons or other issues caused by guests, the public or any factors outside our control.
Product Variability
Our flower and balloon supplies may vary based on:
- Seasonal availability: Some flowers bloom only at certain times of the year.
- Current stock: We depend on our suppliers, who may sometimes have limited quantities.
- Shipping conditions: Items are subject to seasonal shipping challenges or damage during transport.
Because of these factors, we cannot guarantee exact flower types or colours and substitutions may be necessary.
We will maintain your agreed-upon color palette and style. Substitutions, such as alternative vases or backdrops/props, will always be of equal or greater value. Refunds will not be provided for minor variations.
Hire Terms
All hire items remain the property of Popi Posi Events and must be returned or left at the venue as arranged. Clients are responsible for any loss or damage to hired items, with replacement fees applied as necessary.
If you engage external vendors, such as florists or balloon artists, to work on our props, you will be liable for any damages caused and must cover repair or replacement costs.
Design Ownership
All designs and concepts are the intellectual property of Popi Posi Events. Replicating or commissioning replicas of our work without permission is not permitted.
Photography and Media Usage
We reserve the right to photograph our work and use these images for promotional purposes, including social media, our website, and marketing materials. If you provide professional photos, we will credit the photographer appropriately.
Venue Permissions for Installations
It is the client’s responsibility to secure necessary approvals for floral installations or other designs. Popi Posi Events is not liable for incomplete work resulting from insufficient permissions or safety concerns.
Providing Your Own Materials
If you provide your own backdrops, it is your responsibility to ensure they are safe, secure, and suitable for the event. We are not liable for damage or issues caused by faulty materials.
Responsibility for Damages
Once items are delivered or collected, responsibility for their care transfers to the client. Any damage to hired items, floral arrangements, or decor will incur replacement costs.
Weather-Related Disruptions
In the event of extreme weather, we will prioritize safety and adapt our plans as needed. Popi Posi Events cannot be held liable for delays or disruptions caused by weather conditions beyond our control.
Health Guidelines and COVID-19
We adhere to all relevant health and safety protocols. Should unforeseen health risks, such as a COVID-19 outbreak, impact our services, we will notify you and propose contingency plans.
Family Emergencies, Illness or Death
In the unlikely event of a family emergency, illness, injury, death or other personal circumstances, Popi Posi Events reserves the right to withdraw from your event. If this occurs, we will notify you promptly and provide a full refund of any payments made.
Uncontrollable Events
Popi Posi Events is not liable for disruptions caused by events beyond our control, such as natural disasters or strikes. If such events result in cancellation within 30 days, the 25% deposit and costs for materials remain non-refundable.
Client Responsibility and Indemnity
The client agrees to indemnify and hold harmless Popi Posi Events, its staff, and contractors against any claims, damages, or liabilities arising from our services or products used at the event.
Entire Agreement
These terms constitute the entire agreement between Popi Posi Events and the client. Any changes must be made in writing and agreed upon by both parties.
